Motor Pool Overview

Motor pool reservations are for Wabash business only. For personal needs, pleae refer to the "Personal Needs" section for information and resources. Some examples of the use of Wabash business motor pool reservations would be class excursion, airport pick up of guest speaker, and local shuttles. Q. What vehicles are available for requesting?

Wabash owns (1) sedan, (3) minivans, (2) 11-passenger vans, and (1) 15-passenger van. 天下足球网,球探比分 also have a contract with Enterprise, so if a vehicle is unavailable, with plenty of notice, we should be able to rent one from the local Enterprise office.


Q. How soon do I need to put in my motor pool request?

Requests are time stamped in the Motor Pool Scheduling system. This means, that the Travel Coordinator will opporate under the "first come first served" moto, unless special cercumstances arrise. Requests made less than 48 hours before needed may be subject to denial, anything less than 24 hours will be DENIED. Please plan ahead and provide as much information as possible in your request. Your last minute request will not be the last minute schedule of the Travel Coordinator and 天下足球网,球探比分 Services.

Q. Can anyone drive a motor pool vehicle?

No. In order to drive a campus vehicle, you must be at least 18 years old, have posessed a driver's license for at least 1 year, and complete the form located under "How to Become an Approved Driver"


Q. How do I purchase fuel in the vehicle I'm in?

Each motor pool vehicle - including rentals - are provided with a gas card. This gas card can be used at any major gas station, instructions for using the card are included in the card wallet, just make sure to get a receipt and return them with the keys. 天下足球网,球探比分 owned vehicles are to be returned with a FULL tank of gas. Enterprise vehicles are to be returned with the gas filled to where it was when you took off.


Q. Where do I pick up and return the keys and vehicle?

Key Pick Up - Keys are to be picked up at 天下足球网,球探比分 Services during business hours of Monday-Friday 8:00am-4:30pm, closed Saturday and Sunday. If your drive is scheduled on the weekend, be sure to pick up the keys before 4:30pm on Friday. Failing to do so, you will forfeit the use of the vehicle.

Key Drop Off - Keys (including gas receipts) are to be returned to 天下足球网,球探比分 Services. There is an after hours drop box is the mail slot under the building numbers to the right of Campu Services door.

Vehicle Location - All motor pool vehicles are located in the far back lot at the corner of Russell Ave. and Milligan St. across from the tennis courts. They will need to be picked up and returned here within your requested timeframe. Moving the vehicle outside of that timeframe requires permission from the Travel Coordinator ahead of time.


Q. How do I know if my request has been approved?

You will receive a confirmation or declined email from the Scheduler system in reference to your request. The Travel Coordinator will speak with you before a declined email is sent, so that you know why and what other options were investigated to try and make your request happen. In your confirmation email, it will specify which vehicle was assigned, and if you requested a driver, the driver's information will be there, too.


Q. Why was I given an Enterprise vehicle instead of a motor pool vehicle?

This can be for a few reasons.

  • All campus vehicles were requested/reserved before your request was submitted.

  • You are traveling further than 75 miles one way from campus.

  • You reserved a vehicle for an extended amount of time, and the Travel Coordinator feels that the motor pool fleet needs to be available during that timeframe. 


Q. What happens if there are no motor pool or Enterprise vehicles are available for my request?

This all depends on the type of drive you are doing. You can certainly use your personal vehicle and submit for reimbursement if it's just you or a couple of people. For other uses, we can inquire about utilizing the local taxi or a charter service depending on the size of the group.


Q. What if I need a paid campus driver and one isn't available?

The paid campus drivers are hired as an as-needed-as-available position, so they are not obligated/forced to take on drives. Because of this, there's always a possibilty that a driver cannot be obtained. In this case, it will be up to you to find a volunteer driver in your department that is on the Approved Drivers list. If this isn't possible, a taxi service can be used in which the Travel Coordinator can arrange. 


Q. What are the costs for the use of the Wabash motor pool and paid campus drivers?

All campus owned vehicles are charged per mile at $0.40. This covers wear and tear, gas, insurance, etc.

Paid campus drivers are charged at $14 per hour. If you need the person to wait on you, you will accumilate charges during that time, too.

Rentals are charged for the rental cost plus gas used. Large passenger vans have an additional mileage charge if you go over 150 miles per day, and toll charges will be billed to the account as well. If the gas is not filled up to the amount that it was when delivered, an additional premium fuel charge is applied, too. Rental costs are estimated as follows:
